12-month South Asian wedding planning timeline (2026 GTA edition)

GTA South Asian wedding vendors book 12-18 months in advance for peak season (May-October weekends). The biggest mistake couples make is treating "12 months out" as a starting line — for venue and photography, that's already late. Here's the realistic timeline.

0114-18 months out · The non-negotiable booking window

Book these now or accept second-tier:

Venue — both ceremony AND reception. Peak Saturdays in May-October book this far ahead in Brampton, Mississauga, Toronto.
Photographer — the best are booked by winter for next summer. Don't wait for "the perfect couple's plan" — book the photographer you trust.
Videographer — pair with photographer; book together when possible.
Decor + florals — large mandap installations, custom floral, cherry-picked decor specialists go fast.

0210-12 months out · The core team

Caterer — outside catering for non-hotel venues. Ask about halal certification, Jain options, late-night chaat counter.
Priest / officiant — book the muhurtham + meet at least once before the day.
DJ + entertainment — the good ones with live dhol options book fast.
MUA + hair (bride) — schedule the trial 4-8 weeks before the wedding.

036-9 months out · The personal items

Bridal wear — custom Banarasi or couture pieces need 6+ months for fittings + shipping.
Mehndi artist — for the bride + a guest booth artist for Mehndi night.
Invitations — 6 months for physical (cardstock + foil), 3-4 months for digital.
Bridal jewellery — custom pieces 4-8 months; off-shelf available year-round.

043-6 months out · The atmosphere

Sweets / mithai — final menu 30 days before; vendor 3-6 months ahead.
Baraat (horse / dhol) — book the horse, the dhol player, and the dancers as a unit.
Save-the-dates — physical mailers go out 4-6 months before.
Block hotel rooms for out-of-town family.

056 weeks before · The final stretch

• Confirm timelines with all vendors
• Final headcount to caterer (typically due 30 days before)
• MUA trial
• Tasting (if not done already)
• Schedule day-of timeline meetings with photographer + videographer + DJ
• Pay remaining balances per contract

06The week of

• Confirm baraat permits with city + venue
• Pickup bridal wear after final fittings
• Pre-wedding bridal mehndi (2-4 days before — gives stain time to deepen)
• Welcome dinner / family events
• Day-of: do nothing yourself. Trust the team.

§ Frequently asked

Can I plan a South Asian wedding in 6 months?

Yes, but with compromises. You'll have venue and photographer leftovers (the top tier is gone). Stick with weeknight or off-season dates (November-March), expect to pay rush premiums on decor and bridal wear, and consider an interfaith vs traditional ceremony to widen vendor availability.

What's the single most important early booking?

Venue. Every other vendor depends on the date AND the location — a photographer can't quote without knowing if it's a banquet hall or a downtown hotel. Lock the venue first, then move out from there.

How early should we start the budget conversation?

14-16 months out, before any vendor calls. Decide total budget, guest count target, and ceremony scope (1-day, 2-day, or 3-day). Vendors will ask all three on the first call.

When do we send save-the-dates vs invitations?

Save-the-dates: 6 months out for local guests, 8-10 months for international family who need flights. Formal invitations: 3 months out (4 months for elaborate physical sets that go through India for printing).
